This policy explains how Pool Tables Victoria (we, us or our) handles personal information when you use our website, contact us, request a quote or place an order.

1. Information we collect

We collect information you choose to provide, which may include your name, email address, phone number, suburb or postcode, table and felt preferences, and the contents of your enquiry. If you order, we may also need your delivery address, access instructions and order or payment confirmation details.

You can make a general enquiry without giving your suburb. We need enough location and access information to provide an accurate delivery quote or fulfil an order. Please do not send card numbers, passwords, identity documents or other unnecessary sensitive information through the enquiry tool.

2. How the enquiry tool works

The website’s enquiry tool opens a draft in your email app. It does not automatically send your details to us or save your enquiry in a website database. You can review, change or delete the draft before deciding whether to send it. Your email app or provider may handle or save that draft under its own settings and privacy terms.

We receive the information if you send the email, call or text us, or otherwise contact us. Our website and technology providers may also process technical information such as IP addresses, browser information, pages requested and security logs to operate and protect their services.

3. Why we use your information

• To answer enquiries and provide table, package, delivery and installation quotes.
• To confirm orders, arrange deliveries and installations, and communicate about your booking.
• To provide customer support and handle returns, warranty enquiries or complaints.
• To maintain necessary business records and meet applicable legal obligations.

We use your suburb to work out delivery arrangements and pricing. We do not sell your personal information. We will not add you to a marketing mailing list simply because you make an enquiry.

4. Who may receive your information

Where reasonably needed for these purposes, we may share relevant details with delivery drivers, installers, email and technology providers, professional advisers or other service providers supporting our business. For example, a driver may need your name, contact number, delivery address and access instructions. We may also disclose information where required or authorised by law.

5. Email services and overseas processing

Our enquiry address uses Google’s Gmail service. Google and other technology providers may process or store information outside Australia, including in the United States and other countries where their services operate. Your own email provider may also process information overseas. You can read Google’s Privacy Policy or contact us if you would like more information about the providers we use.

6. Cookies, reviews and external websites

This landing page does not add advertising pixels, third-party analytics or an embedded Google reviews widget. Hosting and access services may use essential cookies or technical logs for security and operation. The Google reviews button takes you to an external website; Google’s privacy terms apply there. We do not control external websites or your email provider.

7. Security and retention

We take reasonable steps to protect the information we hold and limit access to people who need it for their work. No internet or email service can be guaranteed completely secure. We keep information for as long as reasonably needed for the purposes above and any applicable record-keeping requirements, then take reasonable steps to delete or de-identify it when no longer required. Backup copies may remain until routinely overwritten.

8. Access, corrections and privacy concerns

You can ask what personal information we hold about you, request a correction, or raise a privacy concern using the contact details below. We may need to verify your identity before providing access. We will consider your request and explain any limitations that apply, including legal record-keeping obligations.

If you are unhappy with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au for privacy information or to ask whether it can consider your complaint.
